How To Correct W-2 Forms Reported Under An Incorrect EIN

Problem: You filed W-2 forms and later realized the Employer's EIN was incorrect.
How To: Refile using the correct EIN.
Strategy: File W-2 corrections indicating previously reported wages and withholding under the incorrect EIN; File W-2 corrections indicating corrected wages and withholding under the correct EIN.

Step-By-Step Solution:

Step 1: Prepare W-2 corrections using the incorrect EIN
  • Open the client's W-2 forms.
  • Select W-2C from the Forms menu.
  • Select Import Original W-2 Forms from the File menu.
  • Ensure that the Employer EIN shown is the original (incorrect) EIN.

Step 2: File all W-2C forms using the incorrect EIN as usual

If you e-file with SSA, make sure to rename your file to the WFID provided by SSA BSO. If you file on paper, make sure to print and include Form W-3C with your submission.

Step 3: Prepare W-2 corrections using the correct EIN
  • Click the incorrect Employer's EIN displayed on Form W-2C.
  • On the Edit Filer window, correct the Taxpayer ID and Click OK.
  • Ensure that the correct Employer EIN is now shown on Form W-2C.
  • Select Swap Previous <-> Corrected from the Tools menu.

Step 4: File all W-2C forms using the correct EIN as usual

If you e-file with SSA, make sure to rename your file to the WFID provided by SSA BSO. If you file on paper, make sure to print and include Form W-3C with your submission.

How To Reprint W-2 Forms For A Specific Reporting State

Problem: After printing W-2 forms across multiple reporting states you realized that a specific state's identification number (State ID) was incorrect.
How To: Correct the State ID and reprint only that state's W-2 forms.
Strategy: Correct the State ID; Mark the entire file of W-2 forms as already printed; Mark all W-2 forms for the reporting state to be reprinted as not printed; Print all W-2s as usual.

Step-By-Step Solution:

For illustrative purposes only, the state of Iowa will be used in the solution that follows.


Step 1: Correct Iowa's State ID
  • Open the client's W-2 forms as usual.
  • From the File menu, select Edit filer.
  • Click on the State ID tab.
  • Make the change to Iowa's State ID.
  • Close the Edit Filer window.
Step 2: Mark the entire file of W-2s as already printed
  • From the W-2 Tools menu, select Set Print Indicators.
  • Click Begin.
  • Click Yes to proceed. 
  • When done, the Printed indicator at the top of each W-2 form will be checked.
Step 3: Mark all W-2s with a reporting state of Iowa as not printed
  • From the W-2 Tools menu, select Clear Print Indicators.
  • Click Select Filter.
  • Select Reporting State #1 from the list of available filters.
  • Click Retrieve to populate the list with available reporting states. 
  • Click IA.
  • Click From to define the start of the range.
  • Click To to define the end of the range.
  • Click Begin to verify the range and proceed.

Creating a Filtered Range

NOTE:
When done, the Printed indicator will be unchecked on each W-2 form having a Reporting State #1 of IA. Since W-2 forms allow for the possibility of two reporting states, you should repeat Step 3 for Reporting State #2 filter as well.

Step 4: Print all W-2s as usual
  • Only those W-2 forms with a Report State of Iowa will be printed.

How To Correct 1099 Returns Reported Under An Incorrect Payer (Not Recipient) EIN?

Write a letter to IRS containing the following information:
  • Name and address of the payer 
  • Type of error (include the incorrect EIN that was reported) 
  • Tax year 
  • Payer's correct EIN 
  • Transmitter Control Code (TCC), if applicable 
  • Type of return that was filed 
  • Number of payees (recipients)
  • Filing method (paper, electronic) 
  • Was Federal income tax withheld?

How To Add Additional 1099 Recipients

Problem: You printed and e-filed all of your 1099 returns only to realize that you inadvertently forgot a few.
How To: Add the additional 1099 returns without duplicating those previously filed.
Strategy: Mark all of the existing 1099 returns as already printed and already e-filed; Add the additional 1099 returns; Print and e-file as usual.
Solution: Easy

Step-By-Step Solution:

Step 1: Mark all 1099 returns as printed
  • Open the 1099 forms containing the original returns.
  • From the Tools menu, select Set Print Indicators...
  • When the Range dialog opens, click Begin and proceed.
  • When done, all of the Printed check boxes will be checked.
Step 2:  Mark all 1099 returns as e-filed
  • From the Tools menu, select Clear Efile Indicators...
  • When the Range dialog opens, click Begin and proceed.
  • When done, all of the Efile check boxes will be unchecked.
Step 3: Enter the additional returns
If the additional 1099 returns were not yet entered, enter them as usual and proceed to Step 4. Otherwise,
  • Select Locate from the File menu.
  • Select ID # from the Search By drop-down list.
  • Scroll to the end of the list until you see the additional 1099 returns.
  • Check (double-click) the Efile column on each of the additional 1099 returns.
  • Uncheck (double-click) the Printed column on each of the additional 1099 returns.
  • Click OK and proceed to Step 4.
Step 4: Print and e-file as usual
Only the additional 1099 returns will be printed and e-filed.

Remarks: The above solution also applies to forms 1098, 3921, 3922, 5498, W-2G, W-2 and W-2C.
